What we collect, why, and how to see or correct it. Last updated .
In brief
- This website sets no cookies and runs no analytics or advertising.
- We only collect what you type into the join or contact form.
- We use it to run your membership or to answer you. We never sell or share it.
- You can ask to see, correct or delete it at any time.
What we collect
From the join form: your name and email, the area of the Sounds you are connected to, your membership type, and anything else you choose to give us (phone, postal address, bay, donation, payment method, interests and skills). From the contact form: your name, email and message.
Like all web servers, ours briefly processes your IP address to deliver pages and to block abuse. To limit repeated submissions we keep a scrambled (hashed) version of it for up to a day. We never store it with your form details.
Why we collect it
To keep a register of members as an incorporated society, to match payments, to send news if you ask for it, to put you in touch with a working group, and to reply to messages.
Who can see it and where it is kept
Only committee members who need it for their role, usually the secretary and treasurer. Form entries are stored in a database run for us by Cloudflare, kept in its Oceania region. Card payments are made on Paymate's own site; we never see your card details.
Membership records are kept while you are a member and for two years afterwards. Messages are deleted once they have been dealt with.
Your rights
Under the Privacy Act 2020 you can ask for a copy of the information we hold about you and ask us to correct or delete it. Write to the secretary through the contact page. If you are not happy with our answer, you can complain to the Office of the Privacy Commissioner (external site).
Privacy officer
The secretary is our privacy officer.
